Processes
Learn what processes are and how they work in SmartStaff.
A process is a repeatable way of handling one kind of work. You describe it once, and your team performs it again every time that work arrives.
What is a Process?
It is how you tell your team what to do with a request. For example:
- π Writing: "Turn every incoming enquiry into a short reply in our tone of voice."
- π Research: "For every new lead, find out what the company does and who runs it."
- π Analysis: "Every Monday, go through last week's numbers and say what changed."
- π¨ Creation: "For each campaign brief, give me five ideas to choose from."
One performance of a process is a run. A process that has been through forty enquiries has forty runs behind it, all following the same description.
How Processes Work
1. You Describe the Work
You tell SmartStaff what you need in plain language.
2. A Team is Assigned
SmartStaff picks agents with the right skills for the job and forms a Team.
3. The Team Plans, You Approve
The team writes down the steps it intends to take. You approve them, change one, or reject the plan with a reason.
4. The Team Gets to Work
The agents collaborate and deliver the results to you. The next request starts a new run of the same process.
The Procedure
A process can also carry a procedure: a fixed list of steps it performs every time it runs. You can write it yourself, or save a plan you approved back onto the process. Either way it survives between runs, so run 41 starts from what run 40 taught you instead of from a blank page.
Making Your Processes Better
Your team will do its best, but you can help it by:
- Being specific about what you want.
- Giving it context about why you need it.
- Attaching files or data if it needs them.
