Glossary

A list of common terms used in SmartStaff.

These are the words SmartStaff uses in a specific way. Each one names exactly one thing, and nothing else in the product is called by that name.

  • Process: A repeatable way of handling one kind of work — "how we deal with an incoming enquiry". You describe it once and it is performed many times.

  • Run: One performance of a process, for one incoming request. A process that has been through forty enquiries has forty runs behind it.

  • Procedure: The fixed list of steps a process performs every time it runs. You write it, or you save an approved plan back onto the process; either way it survives between runs — unlike the plan, which the team drafts fresh each time.

  • Plan: The steps the team intends to take in this run. It is shown to you for approval before any work starts.

  • Agent: One AI worker with a skill of its own — a Content Creator, a Business Analyst, a Market Researcher.

  • Team: A group of agents that runs a process together.

  • Tool: Something an agent can reach outside SmartStaff — a web search, a spreadsheet, a mailbox.

  • Catalogue: The ready-made agents you can hire into your organization instead of writing one yourself.

  • Rule: An instruction derived from your feedback and given to the team before every later run it applies to.

  • Organization: The top-level group that holds all of your teams, agents and processes.
